About Kelvo

Kelvo is a UK booking, payments and registers platform for sports academies and clubs. It is a Coacha alternative with no monthly fee and no contract, and the move from Coacha is done for you, free: your classes, members and payments come across and most academies are live within a few days.

How switching works

Four steps, one of them yours.

    Send us your Coacha export or a spreadsheet

    Your Coacha export, or a spreadsheet. Classes, days, times, prices, and a list of members with the email they book under. It does not need to be tidy.

  2. 2

    We set it up with you

    Your classes, plans, coaches and brand go in. You get a preview of the booking site with your real timetable to check before anyone sees it. Connecting Stripe takes about ten minutes.

  3. 3

    Members come across

    Families are added so their first booking is a returning-parent one. Nobody re-enters children, consents or medical details. Anyone on a recurring plan is set up to renew on the right date.

  4. 4

    You announce it

    One email, from you, with the new booking link. From then on new bookings, renewals and trials run on Kelvo. Your old system can be switched off at the end of the month.

Money

Renewals that charge themselves

Memberships and termly plans renew on the right date, and the parent is emailed before every charge. A failed card is retried and chased for you, and your billing page shows who needs attention and why.

Operations

Registers on the coach app

One-tap register on a phone: who is new, consents, a medical flag and an emergency call sheet naming who to ring. Coaches never see billing.

Booking

Parents book and pay in under two minutes

A parent who has booked before is recognised and skips straight to payment. No passwords for anyone: parents, coaches and staff sign in with a code sent to their email.

Money

Money goes straight to your own Stripe

Kelvo never holds it. Stripe pays out on its standard schedule, and you can see the balance and every payout inside Kelvo. Parents can pay by card, Apple Pay or Google Pay.

A website kept in sync, if you want one

Keep your current site and link to your booking page, or have us build you a new one that stays in step with Kelvo, so a new class or a price change shows up without anyone editing a page.

Can you move my members from Coacha?
Yes. Send us your Coacha export, or a spreadsheet, and we add every account and child so their first booking on Kelvo is a returning-parent one. Anyone on a recurring plan is set up to renew on the right date.
Will parents have to re-enter their details?
No. Children, consents, medical notes and emergency contacts come across with the account.
How long does it take?
Most academies are live within a few days. You send us what you have, we set it up with you, you check a preview of the booking site with your real timetable, and you announce the new link in one email.
Is there a contract?
No. There is no contract. Your customers and your money are yours, and you can export your data at any time.
What does it cost?
There is no monthly fee and no setup fee, and moving across is free. You pay nothing until a parent pays you. See pricing for the details.
Can I keep my website?
Yes. Keep it and link to your booking site, or have your live classes, prices and booking links shown on your own pages. If you would rather start again, we can build you a new website that stays in step with Kelvo, so a new class or a price change shows up without anyone editing a page.
