In practice: a £100-a-year junior subscription costs the club £4.90. There is no monthly fee, so a twenty-team netball club and a five-venue swim school each pay only on what they actually collect — and nothing in the off-season.

Is it really 4.9% and nothing else?
Kelvo charges 4.9% on each transaction and nothing else — no monthly fee, no setup fee, no per-seat charges, no contract. Card processing is handled by Stripe and billed by them at their standard UK rate (currently 1.5% + 20p for UK cards), the same as you would pay running Stripe on your own. When your classes are quiet, you pay nothing.
When do we get paid?
Money goes straight into your own Stripe account — Kelvo never holds it. Stripe pays out on its standard schedule (typically a few days after each charge), and you can see the balance and every payout inside Kelvo.
What happens with refunds and failed payments?
Refunds are one click, full or partial, and free up the places. A failed renewal is retried automatically and the parent is emailed to update their card; you see who needs attention on your billing page with the reason in plain English.
Can we set it up ourselves, or do you do it?
Either. Sign up and you will be walked through your first class, your brand and your Stripe connection in a few minutes. If you would rather we did it, Enterprise support includes hands-on setup and migration.
How do we move our schedule and members across?
We do it with you. Send us an export from whatever you use today — a spreadsheet is fine — and we set up your classes, plans and members so parents can book from day one. Most academies are live within days, not weeks.
What if we want to leave?
There is no contract. Your Stripe account, your customers and your money are yours; export your data at any time.
We already have a website — do we have to replace it?
No. Keep it. Your booking site lives on your own subdomain (yourname.kelvo.co) and you link to it from your site, or pull your live classes, prices and “Book now” links straight into your own pages with the Kelvo API. Parents land on your branded pages either way.
Can you build our website as well?
Yes. We design and build websites for clubs and academies, with your classes, prices and booking kept in sync with Kelvo automatically — so a price change or a new class shows up on your site without anyone editing a page. It is included in Custom and priced separately otherwise. Just ask when you get in touch.
Can parents cancel or change their booking themselves?
Parents can update their card, see every upcoming charge, book sessions from a pack, and upgrade a membership themselves. Cancellations and refunds stay with you — one click from the customer record — so a family always speaks to you first.
Do parents need an account or a password?
No passwords, for anyone. Parents, coaches and staff all sign in with a six-digit code sent to their email. A parent who has booked before is recognised and skips straight to payment.
Is it GDPR and safeguarding compliant?
Consent is captured per channel (team chat versus public marketing), medical details are restricted to the people who need them, every sensitive action is logged, and data is stored in the UK. A Data Processing Agreement is available.
