Kelvo

Insights & the weekly digest

Know what moved in your club this week — and what to do about it.

Most booking systems give you a table and leave the thinking to you. Kelvo reads your own bookings, payments and registers and tells you, in sentences: what went up, what went down, why, which classes need filling and which families need a call. Once a week the short version lands in your inbox.

Worth doing: 9 families have booked three or more one-offs and have no membership. Invite them.

The questions you ask yourself on a Sunday night.

“Are we actually growing?”

Takings split into renewals, new memberships and one-offs, so a busy camp week cannot hide a membership that is shrinking. Each figure says up, down or steady in words — and only once there is enough history to say it honestly.

“Which classes should I worry about?”

The emptiest classes over the last month, the slots that are nearly full, and a day-by-hour picture of when your sessions actually fill — so the next class you add goes where the demand already is.

“Who is about to leave?”

Families still paying but not seen for four weeks, children on a run of no-shows, renewals waiting on a card. Named, with the reason, so the check-in call happens before the cancellation.

“What should I do this week?”

Suggested actions ranked by what they are worth: invite the regular one-off bookers onto a membership, win back the families who went quiet, run the camp that sold out again. Every suggestion shows the numbers behind it.

What Kelvo does about it

From a number to a decision.

Knowing

Insights that say what moved

Takings, memberships and members as plain sentences — up, down or steady, and why. Which classes are half empty, which slots are nearly full, which hours parents actually want, and which families have gone quiet. Measured against your own history, never another club’s.

Knowing

One email a week

The Kelvo Digest lands once a week with what needs you: payments that failed, registers not finished, sessions filling slower than that class usually does. Every line is compared with your usual week, and a quiet week is a short email.

Knowing

Ask Kelvo

Type a question the way you would ask a colleague — “who hasn’t been for a month?”, “what did the October camp take?” — and get the answer from your own bookings, payments and registers. It reads; it never changes anything.

Operations

A dashboard built for the morning

Today’s sessions, who is booked, registers still to finish, this month’s takings and every renewal due in the next 30 days — on one screen, live, with the things that need you at the top.

Money

Renewals that look after themselves

A reminder before every charge, a receipt after it, and a failed card retried and chased automatically. Your billing page shows what is coming in the next 30 days and who needs attention — in plain English.

Money

Told when a payment is stuck — and when it clears

A failed renewal is retried and the parent is emailed without you lifting a finger. If it is still stuck you get one email saying who, how much and why in plain English — and another when it is paid, so you never ring a family who has settled up.

In use

Organisations that got their time back — and made their income predictable.

Moved off Omnify

From one-off blocks to recurring revenue

Every parent bought a block for the term, then had to be chased to buy the next one. Revenue reset to zero at every term boundary.

Live on Kelvo in days. Moved before the new term and put existing customers straight onto recurring plans. Renewals charge automatically, parents get a reminder first, and failed cards are retried and followed up without anyone lifting a finger.

Term-by-term chasing → renewals that run themselves.

Off four tools, onto one

Bookings on GoTeamUp, trials on Microsoft Bookings, emails on Mailerlite and a website that could not take a payment. Four logins, four bills, nothing talking to each other.

Live on Kelvo in days. Schedule, members and plans brought across; one branded booking site; parents book and pay in under two minutes; coaches mark registers on their phone.

Four systems → one. £0 a month.

Questions

Common questions.

Not answered here? Ask us — usually within a working day.

Do I have to set up reports or dashboards?
No. Insights is built from the bookings, payments and registers Kelvo already holds, so it is there from your first week. It waits until there is enough history before quoting a trend, and says so rather than guessing.
Are my numbers compared with other clubs?
No. Insights and the weekly digest only ever compare you with your own history — this week against your usual week, this class against how it normally fills. No other organisation’s data appears on your screens, and yours never appears on theirs.
How often will Kelvo email me?
The digest is once a week and it is off until you switch it on. You choose what goes in it, preview it before it sends, and set it up for teammates from your Team page.
What can I ask Kelvo, and can it change anything?
Anything about your own organisation — who attended, who has paid, which classes are filling, what a camp took, which discount a family used. It answers from your live data. It is read-only: it cannot move a booking, refund a payment or email a parent. We switch it on for your organisation; there is nothing to install.
How do we move our schedule and members across?
We do it with you. Send us an export from whatever you use today — a spreadsheet is fine — and we set up your classes, plans and members so parents can book from day one. Most academies are live within days, not weeks.
Can we set it up ourselves, or do you do it?
Either. Sign up and you will be walked through your first class, your brand and your Stripe connection in a few minutes. If you would rather we did it, Done for you includes hands-on setup and migration.

Bring your classes. The answers come with them.

We’ll set up a branded booking page with one of your real classes and walk through it with you live. 30 minutes.
